SWAG AND HANDOUTS
Q: When do I need to get the swag and handouts to you for the swag bags?
A: We need the swag materials to be in hand by Friday, 5/26/2017.
Q: What kind of swag items and handouts are ok?
A: Any kind of small swag item that will fit in the swag bag (think grocery bag size) is fine. For the handout, a 8.5 x 11 size one page brochure is ok or a small booklet with a few pages. Remember, everyone loves stickers!
Q: How many swag items and handouts are needed?
A: We are projecting 600 attendees for Music City code.
Q: I have my branded products ready for the swag bags, what do I do now?
A: Once you have your branded products ready, please first contact your sponsor liaison by phone or email to let them know. You will have one of two options depending on your location. You can either ship the products directly to the Sponsorship Director, or if you are local to Nashville, you can arrange a time and location to give the products to your sponsorship liaison in person.
Q: When is the conference?
A: Music City Code - June 1 is workshop day and MCC is June 2-3
Q: I have been given a sponsor code to register more than one attendee. Do I have to register them all at once?
A: No. The registration code provided is good for all your allotted number of attendees. Please remember, that ordering t-shirts and printing customized badges for attendees happens in the weeks before the conference. To guarantee a custom badge and t-shirt for all sponsor attendees, please register by the May 10th. We will have extra shirts and blank badges if you register after the cut-off date.
Q: How many tickets are included with my sponsorship?
A: Songwriter - (2) Two-day passes (Fri.-Sat.)
Rockstar - (4) Two-day passes (Fri.-Sat.)
Hall of Famer - (4) Two-day passes (Fri.-Sat.)
For sponsors of both Music City Agile and Music City Code, you will get 3 day passes to cover the workshop day as well.
Q: What do I do if I need to purchase additional tickets?
A: You can go to the registration page to order more tickets - http://register.musiccitycode.com
Q: Are there discounts available for purchasing large groups of tickets?
A: Speak to your liaison about bulk purchasing. (5 or more get 20% off) or email firstname.lastname@example.org.
Q: When will I be able to set up and tear down my booth?
A: You can set your booth up as early as 6:30 AM Friday morning before the sessions on June 2. We ask all sponsors to have their booth set up before the conference officially begins at 8:00 AM. We ask that all booths be broken down by Saturday around 4:30 PM.
Q: Will I have power at my booth?
A: Each booth will be provided a standard 6-outlet power strip.
Q: Will there be Wi-Fi?
A: Yes there will be. Information will be available at the venue.
Q: How big is my booth?
A: The size of your booth depends on your level of sponsorship. Songwriter sponsors are provided a table 6 x 2.5 ft, Rockstar and Hall of Famer sponsors a table 8 x 2.5 ft, and every booth will be covered with a black tablecloth.
Q: Will I be able to store items over night?
A: The conference buildings are locked every evening at 6:00 PM. Coordinate with your liaison or member of the sponsorship team should you need to store valuable items in a specially locked room Friday night.
Q: Where will my booth be located?
A: We will have a map for the booth locations posted a week prior to the event.
Q: What’s the deal with the barcode scanners to gather attendee information?
A: Each sponsor will be provided a barcode scanner that can be used to scan attendee badges at their booth. After the conference, return the scanner to your sponsor liaison or a crew member. We will then download the attendee details for badges you scanned and provide them to you via email.
Q: Where should I stay if I am traveling from out of town?
A: The official hotel for Music City Code 2016 will be the Nashville Marriott at Vanderbilt University chosen for its close proximity to the conference venue.
Music City Code has reserved a room block for $189/night from 05/31/17 to 06/04/17.

Transportation and Parking
Q: I don’t have a car, how do I get to and from the conference event(s)?
A: For anyone without a vehicle, the venue is less than a 10-min walk from the hotel. Nashville also has both Lyft and Uber ride-share services.
Q: Are there any options left for sponsor add-ons?
A: At this time, the event lanyards and the charging station are already taken.
We need sponsors for the attendee after party, game room or you can work with your liaison to come up with another option that is a fit for your company.
